Course Description:

This training is designed for teachers and athletic coaches who submit requests to use school facilities for curriculum-based, after-school programs such as performances, rehearsals or practices. Participants will learn how to properly submit requests through Facilitron and understand the policies that govern the use of school facilities, including financial responsibilities and athletic compliance.

Special attention will be given to calendar integration, liability considerations, and avoiding violations related to student-athlete participation in off-season programs.

Key Topics Include:

  • Software Training: How to navigate Facilitron to submit accurate and timely facility use requests.
  • Why Requests Are Required: Understanding district policies on facility scheduling—even for school-sponsored programs.
  • How to Submit a Request: Step-by-step guidance to ensure all required information is included.
  • Calendar Networking: Subscribing to your school’s facility calendar to avoid scheduling conflicts and stay informed of approved events.
  • Indirect Costs & When They Apply: Clarifying when teachers or programs may be responsible for costs associated with facility use.
  • Athletic Guidelines (for Coaches):
    • Off-season use requirements
    • Submitting and following the master athletic schedule
    • Verifying and submitting liability insurance when required
    • Preventing student-athlete eligibility violations
  • Communication & Coordination: How to follow up on requests, work with clerical staff and administration, and ensure smooth execution of your events.
